We are pleased to present you with the following overview of activities prepared for the fall and winter of 2021-2022.
You can also find this information posted online at the new Portage Network CTS Canada Cohort website. This website will contain the most up-to-date information about upcoming workshops, reading groups, writing opportunities, and other support activities available.
To help us schedule some of the optional activities in this list, we ask that you please respond to the Doodle polls linked below no later than September 17, 2021. If you have any questions, please do not hesitate to reach out via the Google group, Slack message, or by email.

1. Workshops (Required)
1.1 Timing
There will be three (3) requirements-focused workshops taking place between September 2021 and March 2022: the first workshop is scheduled for October 6, 2021 from 1-2:30pm ET, and the second and third workshops will be held on December 1, 2021 and February 9, 2022.
1.2 Topics
The workshop themes will mostly follow the high-level organization of the CoreTrustSeal requirements, although slightly out-of-order to accommodate cohort requests for a focus on particular requirements:
Workshop 1: Digital Object Management (Curation)
Workshop 2: Digital Object Management & Technology (Preservation)
Workshop 3: Organizational Policies
1.3 Preparation
Readings will be circulated in advance of the workshops. Participants are expected to come prepared to work on one or more requirements related to the workshop theme.
2. Other Activities (Optional)
2.1 Pre-workshop Chats
Timing: 2-3 weeks in advance of each workshop
Participants are invited to attend an informal discussion on the upcoming workshop topic. These pre-workshop chats are designed to help participants gauge their readiness for the workshop and bring questions to the organizers that they hope to have addressed.
2.2 Reading Groups
Timing: throughout
Participants are invited to lead reading group meetings aimed at reviewing successful applications. Any participant can opt to hold a session at any time, and Zoom rooms and Portage staff support can be made available to help moderate the discussion if notified at least 2 weeks in advance of the date. Cohort members are encouraged to host or attend as many of these sessions as they wish. Collaborative notes from the sessions should be circulated to the Cohort Google group if possible.
2.3 Writing Groups
Timing: monthly, starting in November
Come prepared to write with motivation and support from your peers! Opt to work quietly during this time or share your work with others. Depending on the number of participants, breakout rooms can be made available for targeted discussions. Participants may attend as many of these collaborative writing community check-ins as they wish.
2.4 Peer Review
Timing: Ongoing
Participants who have completed the CTS Self-Assessment Dashboard may opt to have their dashboard reviewed by colleagues in the cohort. The NDRIO-Portage CTS Organizing Committee will facilitate the peer review process as participants opt in and complete their self-assessments. (Please see Reporting Requirements below for more information.)
3. Reporting Requirements
3.1 Written reports
After each workshop, participants will be asked to indicate which requirements they have made progress on in the last 2 months, and what they will be working on in the next 2 months. A form will be circulated to collect these responses. Comments from these responses may be used to inform Portage updates and other public communications about the cohort progress and experience generally.
3.2 Self-Assessment Dashboard
To help with reporting, participants will be introduced to the Self-Assessment Dashboard during the first hands-on workshop in October.
11 August 2021 - From Portage/NDRIO: Save the Dates: CTS Cohort Meetings Sept 15th and Oct 6th

Please save the following dates for our next CoreTrustSeal Canadian Cohort meetings: September 15th and October 6th, 2021. Zoom links for these meetings are at the bottom of this email.
The September 15th meeting will be discussion-oriented with the goal of setting expectations, reviewing useful resources and preparing for the general workshop on October 6th.
At the October 6th workshop, we propose a webinar and discussion/workshop format taking an in-depth look at a subset of the CoreTrustSeal requirements (TBD).

2 June 2021 - From Scholars Portal: Update on June Meeting for SP DV Cohort
Good Afternoon Cohort,
While the poll received more responses in favour of a June meeting for the SP DV Cohort, it also received enough ‘not in favour’ votes for us to decide to hold off until July.
As the most popular topic for discussion was Data Curation, it’s probably better to wait to discuss that when more people can attend.
So…the next CTS project event will be the introductory meeting for the larger Portage Cohort on June 28th. “See” you all then!!

28 May 2021 - From Scholars Portal: Update CoreTrustSeal Certification Cohort
I’m forwarding an email from Portage that was sent on Wednesday. For those who may have already received it, I apologize for the duplication.
As you can see in the email, Portage is planning several things for the larger Cohort. I wanted to provide more information on how some of these things may impact the SP DV Cohort.
Communications: Portage is in the process of setting up both a listserv and a Slack instance for the project. Karine indicates below who will be added to the listserv initially, based on applications.
Listserv: I didn’t want to assume that everyone in the SP DV Cohort also wanted to be added to the Portage CTS Project listserv. To that end, we will not be adding the cts-project@scholarsportal.info alias to the listserv. If you would like to be included on the Portage CTS Project listserv, please respond to this email and let me know.
Slack: I’m going to send invites to everyone who is a member of the SP DV Cohort, but only those interested in joining the Slack instance need to follow the instructions in the invitation email to set up an account. As a note, Slack will never be used as the ONLY method of communication for this Cohort.
Portage Cohort Activities: At the organizing committee’s meeting yesterday, it was decided that the introductory meeting for the larger cohort will be held on Monday, June 28th at 1 pm. The exact length of that meeting has not yet been determined, but I would encourage everyone to block off 2 hours in their calendars (if you can) to be safe.
My initial plan had been to wait until after the Portage CTS Project introductory meeting to hold the first official meeting of this Cohort, but I want to gauge everyone’s thoughts on this. I am more than happy to hold an SP DV Cohort group discussion meeting in mid-June if there is interest. (If there is little or no interest in a mid-June meeting, I’ll schedule our first meeting for July.)

26 May 2021 - From Portage/NDRIO: Update CoreTrustSeal Certification Cohort
Dear CoreTrustSeal Certification Cohort participant,
I would like to provide a brief update on the Portage CoreTrustSeal Certification Cohort & Funding project and bring to your attention a few logistical points as we prepare to launch Cohort activities. First though, I'd like to express appreciation for the quality of all applications, which was a pleasure to see for both Portage and the adjudication committee. I have been encouraged by the enthusiasm of all the participants and have every expectation that we will form a dynamic and productive group.
I'll briefly address the following three points: 1) communications within the Cohort, 2) the launch of Cohort activities, and 3) the timing of funding disbursements.
1) Communications: We would like to set up an email listserv as well as a Slack instance for members of the group to communicate with each other.
For the email listserv, I would like to confirm with each participant which email addresses should be added to the list. By default, I propose to include:
- the address from which your repository's application was sent
- any addresses copied on the submission
- the organization’s address as provided in Section 1 of the application form
- any email addresses provided in Section 4 of the application as belonging to individuals will participate in cohort activities and have lead writing responsibilities for the CoreTrustSeal self-assessment
If you would like to adjust the emails included for your repository, please respond and specify which email addresses should be included. If you have any comments or suggestions with respect to Cohort communications, we welcome them at portage@engagedri.ca.
2) Cohort activities: We are currently beginning to plan Cohort activities in earnest, and to this end, a survey will be distributed to all participants soon to solicit your input as to preferred objectives, modes of learning and engaging with your peers, and topics of interest. Using the survey results to guide our planning, we will be targeting the end of June for the first workshop.
3) Funding disbursements: For those who are participating with funding, a participant agreement will be sent to you for your signature in mid-to-late June laying out our respective obligations for funding and reporting.
Following this, we will disburse funding in two parts:
- $5,000 will be disbursed at the start of the project, contingent only on signing the participant agreement.
- The second $5,000 will be distributed in early 2022, contingent on participation in cohort activities and completion of mutually agreed-upon reporting requirements.

4 May 2021 - From Portage/NDRIO: Repositories Selected for Cohort & Funding
Portage is pleased to announce the repositories selected for the NDRIO-Portage CoreTrustSeal Certification Support Cohort & Funding. Launched in February 2021, the CoreTrustSeal Certification Support Cohort and Funding aims to support a group of Canadian repositories in achieving the requirements for CoreTrustSeal certification. Repositories participating in the cohort will receive training and engage with peers through facilitated workshops, including peer and expert review of repository self-assessments. Each participating repository will receive funding in the amount of $10,000 to assist with the work necessary to achieve CoreTrustSeal requirements, prepare the required self-assessments, and cover the CoreTrustSeal application fee.
The repositories selected for funding and membership in the support cohort are:

- Canadensys, Université de Montréal
- data.upei.ca, University of Prince Edward Island
- DataStream, Walter and Duncan Gordon Charitable Foundation

In addition to the funded repositories above, the following repositories will also participate in the support cohort without funding:
