7 September 2021 - From Portage/NDRIO: Upcoming CoreTrustSeal Cohort Fall/Winter Activities

Dear CoreTrustSeal Certification Cohort participant,

We are pleased to present you with the following overview of activities prepared for the fall and winter of 2021-2022. 

You can also find this information posted online at the new Portage Network CTS Canada Cohort website. This website will contain the most up-to-date information about upcoming workshops, reading groups, writing opportunities, and other support activities available.

To help us schedule some of the optional activities in this list, we ask that you please respond to the Doodle polls linked below no later than September 17, 2021. If you have any questions, please do not hesitate to reach out via the Google group, Slack message, or by email.

1. Workshops (Required)

1.1 Timing

There will be three (3) requirements-focused workshops taking place between September 2021 and March 2022: the first workshop is scheduled for October 6, 2021 from 1-2:30pm ET, and the second and third workshops will be held on December 1, 2021 and February 9, 2022.

1.2 Topics

The workshop themes will mostly follow the high-level organization of the CoreTrustSeal requirements, although slightly out-of-order to accommodate cohort requests for a focus on particular requirements:

Workshop 1: Digital Object Management (Curation)
Workshop 2: Digital Object Management & Technology (Preservation)
Workshop 3: Organizational Policies

1.3 Preparation

Readings will be circulated in advance of the workshops. Participants are expected to come prepared to work on one or more requirements related to the workshop theme.

2. Other Activities (Optional)

2.1 Pre-workshop Chats

Timing: 2-3 weeks in advance of each workshop

Participants are invited to attend an informal discussion on the upcoming workshop topic. These pre-workshop chats are designed to help participants gauge their readiness for the workshop and bring questions to the organizers that they hope to have addressed.

2.2 Reading Groups

Timing: throughout

Participants are invited to lead reading group meetings aimed at reviewing successful applications. Any participant can opt to hold a session at any time, and Zoom rooms and Portage staff support can be made available to help moderate the discussion if notified at least 2 weeks in advance of the date. Cohort members are encouraged to host or attend as many of these sessions as they wish. Collaborative notes from the sessions should be circulated to the Cohort Google group if possible.

2.3 Writing Groups

Timing: monthly, starting in November

Come prepared to write with motivation and support from your peers! Opt to work quietly during this time or share your work with others. Depending on the number of participants, breakout rooms can be made available for targeted discussions. Participants may attend as many of these collaborative writing community check-ins as they wish.

2.4 Peer Review

Timing: Ongoing

Participants who have completed the CTS Self-Assessment Dashboard may opt to have their dashboard reviewed by colleagues in the cohort. The NDRIO-Portage CTS Organizing Committee will facilitate the peer review process as participants opt in and complete their self-assessments. (Please see Reporting Requirements below for more information.)

3. Reporting Requirements

3.1 Written reports

After each workshop, participants will be asked to indicate which requirements they have made progress on in the last 2 months, and what they will be working on in the next 2 months. A form will be circulated to collect these responses. Comments from these responses may be used to inform Portage updates and other public communications about the cohort progress and experience generally.

3.2 Self-Assessment Dashboard

To help with reporting, participants will be introduced to the Self-Assessment Dashboard during the first hands-on workshop in October.
